Business Data Protection Explained
“Data protection” covers more than backups — it’s about who can access data, how it’s stored, and what happens if something goes wrong.
By the time a business is comparing MSPs directly, the case for managed IT is usually already made. What’s left is a harder problem: MSPs vary considerably in depth, responsiveness, and how they actually operate day to day, and that variation is easy to miss in a sales conversation.
These are the questions worth asking before signing anything.
What are your actual response time guarantees, and are they contractual? “Fast response” is meaningless without a defined number attached to it, ideally backed by a service level agreement rather than a verbal assurance.
Is after-hours and emergency support included, or an add-on? This should be clear before you need it, not discovered during an incident.
How is support delivered — a dedicated team that gets to know your environment, or a rotating help desk? Continuity matters more than most businesses expect until they experience the alternative.
What does your standard security stack actually include? Ask specifically — monitoring, patching cadence, multi-factor authentication enforcement, backup testing — rather than accepting “we handle security” as a sufficient answer.
How often are backups tested, not just taken? A backup that has never been restored is unverified, regardless of how often it runs.
What’s your incident response process if something does go wrong? A provider without a clear, rehearsed answer to this is a provider that hasn’t had to use one — which isn’t necessarily reassuring.
Do you offer co-managed arrangements, or is it full outsourcing only? If you have internal IT you want to keep, this matters considerably.
How do you handle onboarding a new client’s existing environment? A rushed or vague answer here often predicts how thoroughly they’ll actually understand your systems.
Can we speak to a current client of a similar size or industry? A confident MSP should have no hesitation offering this.
What’s included in the base fee, and what triggers additional cost? Ask this directly — scope creep in MSP pricing is common enough to be worth confirming upfront.
What are the contract terms, and what does exiting the relationship look like? A provider confident in their service shouldn’t need to lock you into unreasonable terms to keep you.
The businesses that end up dissatisfied with an MSP relationship usually aren’t the ones who chose badly on price — they’re the ones who didn’t ask enough of these questions upfront and discovered the gaps only once they mattered.
We’d rather you ask us all of these directly than take our word for it. Get in touch with BFF-IT to talk through your environment and see how we’d answer each of them.

Weak or reused passwords remain one of the simplest ways businesses get compromised. Practical password security practices that actually help.

Security works best as an ongoing discipline, not a one-time project. See how managed IT services build continuous protection into daily operations.

Growth introduces new cybersecurity exposure — more devices, more users, more data. What tends to get overlooked.
